VICIS is looking for an experienced Executive Business Administrator to provide administrative support the CEO and manage the Seattle office(s). The ideal candidate is collaborative and upholds the highest level of integrity and business professionalism; you will deal with highly sensitive data with absolute confidentiality, problem-solve and react with appropriate urgency to situations that require a quick response and track them to resolution. 


    • Support CEO’s administrative and logistics needs
    • Proactively manage CEO’s calendar, travel and expenses with attention to detail, accuracy, and timeliness
    • Ensure scheduling aligns with CEO’s priorities and commitments
    • Drive internal event and meeting logistics and material preparation, including, but not limited to, communication plans, coordinating schedules, serving as primary point of contact for guests, ensuring facilities readiness, ordering food and beverages, etc.
    • Plan and organize the VICIS Board of Directors’ meetings
    • Plan and organize VIP visits
    • Plan and organize company meetings, executive offsites, and other all-company events
    • Own and manage NDA process for all office visitors
    • Own and manage Purchase Order (PO) creation for specific departments
    • Assist HR to coordinate new employee onboarding and offboarding, including, ordering and shipping laptops, ordering business cards, granting and disabling building/alarm access, etc.
    • Provide general office support including front-door reception, ordering supplies, managing monthly parking and ORCA passes for employees, sorting/delivering mail, etc.
    • Assist IT, as needed
    • Other administrative support duties as needed


    • Bachelor’s degree
    • At least 1-2 years demonstrated work experience or internship in a fast-paced executive administrative capacity
    • In-depth knowledge and proficiency with Microsoft Office is required
    • Experience with Visio, Salesforce, Concur, and/or SAP is a plus
    • Experience planning and executing internal events
    • Must be positive, proactive, detail oriented, and driven to succeed
    • Proven reputation for confidentiality, upholding corporate values and helping others succeed
    • Excellent interpersonal, collaboration, planning, and time management skills
    • Action oriented, self-motivated and driven
    • Ability to prioritize own work and resources to complete projects on time as required
