Executive Assistant at Boundless
Seattle, WA, US

We are looking for an expert executive assistant who can help Boundless successfully grow from a team of 100 today to 300+ over the next few years and help millions of immigrant families along the way. You will play a critical role to make sure the CEO and other leaders across the organization are effective and efficient, and help build great culture at Boundless, despite all the challenges of COVID, multiple offices, and multiple countries. The best candidates have a positive attitude that everything is possible, are exceptionally detail-oriented (love making lists and checking items off them), get energy out of helping others, and exhibit a high degree of judgment with sensitive information. 


  • Calendar management
    • Manage CEO’s and other executives’ calendars across internal team members and external stakeholders. Manage many competing priorities, and ensure that meetings are set up for success 
    • When necessary, book travel and accommodations for the CEO and any other team members who are traveling with the CEO
    • Have confidence and sound judgement in pushing back on the CEO when they get distracted from their top priorities
  • Customer communications
    • Pre-draft CEO emails/communications 
    • Route customer inquiries to the appropriate teams and surface issues/trends
  • Meeting Management
    • Create follow-up emails based on information provided by the meeting owner and track action items
    • Record information collected from the meeting owner in a contact database
  • Research projects
    • Conduct one-off research projects requiring both external research and data pulls from within our product analytics tool, Heap
  • Internal communications
    • Help create and shepherd All-hands presentation creation and other internal-facing meetings materials
    • Solicit and organize topics for weekly staff meetings
    • Help assemble business KPIs each week and regular updates summarizing progress and metrics
  • Culture and team
    • Pull together and organize a list of ideas for team events that our team leads can organize for their teams - help them get these events on the calendar
    • Suggest and organize regular team-wide employee morale events, including setup, logistics, etc.
  • Recruiting
    • Support on recruiting activities for our highest-priority open roles including application review, soliciting candidate feedback from internal team members, filtering and organizing information in our applicant tracking system (Greenhouse), and scheduling meetings/interviews
