Who are we looking for?

We’re looking for a high-energy, inventive, and seasoned individual to work closely with our International management team. You possess a strong work ethic, are fastidious in the details, and enjoy a fast-paced environment where flexibility and the ability to juggle multiple priorities with a smile is a must. You will run our back office and act as the office manager for the Haarlem & UK Office.

Your administrative acumen is top-notch and you understand the broad strokes of executive-level operations and can navigate accordingly. Lookout promotes and fosters a culture of self-sufficiency and ownership, so you will be working amongst proactive, results-driven, laser-

Of course, you will be responsible for creating the overall employee office experience, coordinating travel, building relationships with the team, and generally keeping things running smoothly; however, there is also a creative, figure-it-out side. The right person will wear many hats, become an integral part of our team and culture, work hard, and have fun.

What will you do?

  • Coordinate executive visits and trips, we have frequently US executives visiting EMEA and the agenda and travel plans need to be managed and planned with the field teams.
  • You are the office manager for our Haarlem and UK office, based out of the Netherlands but also work frequently from the London office. Tasks include equipment maintenance contracts, office facilities, inventory, kitchen supplies and keeping the office tidy, and help with planning team events and activities.
  • Support new hires; onboarding by working closely with HR, IT, and the hiring manager and working closely with facilities and finance in the US to support our offices.
  • Schedule internal and external meetings.
  • Provide direct administrative support to our Netherlands-based executives.
  • Plan and support internal and external teams, customer and partner events, and meetings. This includes finding locations, hotels, restaurants, and hospitality activities, as well as providing onsite support.
  • Own important projects that require creativity, leadership, and a willingness to figure it out.

Desired Skill &amp; Experience:

  • You have at least 3-5 years of recent experience in a similar role, preferably in a fast-paced technology start-up.
  • You are fluent in Dutch and English.
  • You are a team player and are emotionally intuitive.
  • You can write succinctly and communicate effectively on paper and in person in a professional, yet friendly, manner.
  • You perform all tasks with confidentiality, maturity, and an eye for detail.
  • You are unafraid to say no or expert opinion and influence in a personable way when necessary.
  • You are tech-savvy. You should at least be a pro with MS Office, Google office, and video conferencing systems.
  • You have solid experience in budgeting.
  • You are highly resourceful and a thoughtful problem solver.
  • You possess the flexibility and enthusiasm to respond to pressing needs outside regular office hours when necessary.
